Annual Meeting Update
Posted By Manager on August 18, 2021
Dear Aria Residents,
As you may know, the notice of annual meeting was sent out to the membership via email on July 16th and it is currently posted in the mailroom bulletin board.
There are four seats up for election on the Board. There are three seats for a two-year term and one seat for a one-year term. The ballots will be mailed out to the membership this week. The ballot mailing from the inspectors of election (Ace Inspectors) will include the candidate statements from each running member, the 2020 annual meeting minutes, one ballot per household, voting instructions, and an FAQ.
In order to meet quorum requirements, the association needs 25% of the voting power of members (35 ballots). Every household will receive one ballot and four votes. Our governing documents provide for cumulative voting, therefore you can cast all of your votes for one person, or you may distribute them among the candidates listed on the ballot.
The deadline for the inspectors of election to receive your ballot in the mail is Friday, September 24, 2021. If you do not mail your ballot out on time, owners can drop off their ballot at the Management office or you can hand deliver it to the inspectors of election at the annual meeting prior to the ballots being opened. The annual meeting will be called to order on Monday, September 27th at 6:00pm and the ballots will be opened at 6:05pm.
If you are unable to vote and mail your ballot in time for the inspectors of election to receive your ballot, an owner may assign another owner as a proxy. Per Civil Code §5130, a proxy means a written authorization signed by a member or the authorized representative of the member that gives another member or members the power to vote on behalf of that member.
The association will host a Meet the Candidates open forum during the week of August 23rd. This will provide an opportunity for residents to gather additional information by asking questions of the candidates running for the Board of Directors. This is not considered an open forum for other topics or open discussion. Management will send out an email blast once a date and time for the Meet the Candidates open forum has been confirmed.
